Pilates Therapy (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect from clients and website visitors, why we collect it, how we use and protect it, and what rights you have.

1. Who we are
Pilates Therapy is run by Julie Ladd, a Chartered Physiotherapist and Pilates instructor, based in Hanley Swan, Worcestershire, England. For the purposes of UK data protection law, Julie Ladd, trading as Pilates Therapy, is the “data controller” of the personal information described in this policy. 2. What information we collect

Contact details: name, address, phone number and email address, provided when you enquire about classes, join a class or one-to-one session, or sign up to our newsletter.

Health and medical information: provided on our health questionnaire when you join a class or one-to-one session, so that your instructor can ensure the exercises are safe and appropriate for you. This is treated as “special category data” under UK GDPR, which has extra legal protection.

Class and administrative details: which class(es) you attend, attendance records, and any notes needed to run classes safely.

Website usage information: Cookies are used on the website, see 11. below.

3. How we collect your information

Directly from you, via our paper health questionnaire or google form online when you join a class or one-to-one session.

Via the contact/enquiry form on our website, or by email or phone.

When you opt in to our newsletter, either on a form or via the subscribe option on our website.

4. Why we use your information, and our legal basis
Under UK GDPR, we must have a valid legal basis for processing your personal information:

Health information: we process this with your explicit consent (given when you complete the health questionnaire), because we need it to make sure the exercises you do are safe and appropriate for you.

Contact and administrative details: we process this because it is necessary to provide our classes and sessions to you (performance of a contract), and for our legitimate interests in running and administering our classes.

Newsletter and marketing: we only send these with your consent, given when you opt in. You can withdraw this consent at any time.

5. Sharing your information
We do not sell or share your personal information with third parties for marketing purposes. Your health questionnaire may be shown to another Pilates Therapy instructor only if they are covering your regular class or session in your usual instructor's absence, and only to the extent needed to teach you safely.

We may use trusted third-party service providers to help run our business — for example, our website host or email provider, eg. Wix, Gmail and Mailchimp. Where any such provider stores information outside the UK, we will only use providers that offer an appropriate level of protection for your information, as required by UK GDPR.

6. How long we keep your information

Health/medical information: we currently retain this for 8 years, then destroy it securely.

Contact and newsletter information: we keep this for as long as you remain an active client or subscriber, or until you ask us to remove you, whichever is sooner.

7. How we protect your information

Paper health questionnaires are kept in a folder, taken by instructors to classes for reference, and stored in a locked cabinet at all other times.

Any information held electronically (for example on a laptop or tablet) is password protected.

Access to your information is limited to the instructor(s) who need it to teach you safely.

8. If something goes wrong
In the unlikely event of a data breach affecting your personal information, we will follow the correct legal procedures for reporting the incident and will notify you promptly if your personal data has been compromised, in line with our obligations under UK GDPR.

9. Your rights
Under UK GDPR, you have the right to:

ask for a copy of the personal information we hold about you (“subject access request”);

ask us to correct inaccurate information;

ask us to delete your information, in certain circumstances;

ask us to restrict how we use your information;

object to our use of your information, particularly for marketing;

ask for your information to be provided to you or another organisation in a portable format;

withdraw your consent at any time, where we rely on consent (for example, health information or the newsletter) — this will not affect anything we did before you withdrew consent;

complain to the Information Commissioner's Office (ICO) if you believe we have not handled your information properly. You can contact the ICO at ico.org.uk or on 0303 123 1113.

10. Newsletter and marketing communications
We produce a newsletter approximately 3–4 times a year. We will only send this to you if you have opted in, either by providing your email address on our form or by using the subscribe option on our website. You can unsubscribe at any time by emailing us, or by using the unsubscribe link in any newsletter — we will remove you from the distribution list promptly.

Our website uses cookies - small text files stored on your device - to help it run properly and to understand how visitors use our site.
